When a marketing coordinator asks their design agency for “the logo file,” they are asking for something that exists in many different forms — and the form matters enormously for what the file can be used for.
The same corporate logo can exist as an Adobe Illustrator document, an EPS file, a PDF, a transparent PNG, an SVG, a JPEG, and a TIFF — and each of these formats has different properties, different compatibility, different quality characteristics, and different appropriate uses. Submitting the wrong format for a production application is one of the most common causes of artwork rejection and production delay in the UAE and GCC commercial print and promotional products market.
Most marketing professionals and procurement managers working with print suppliers do not need to understand the technical architecture of each file format in depth. What they do need is a clear, practical reference that answers three questions:
What file format should I request from my design agency for this purpose? What file format should I submit to this type of supplier? Why is this supplier rejecting the format I submitted?

The Two Fundamental Format Categories
Before examining individual formats, the most important distinction is the one established in Article 2.02 of this Encyclopedia: the difference between vector and raster formats. Every logo file format belongs to one of these two categories, and that category membership determines the format’s fundamental suitability for different production applications.
Vector formats store artwork as mathematical descriptions of shapes, curves, lines, and colour fills. They are scale-independent — a vector logo renders at identical sharpness at any size. The major vector formats are: AI (Adobe Illustrator), EPS (Encapsulated PostScript), SVG (Scalable Vector Graphics), and vector PDF (a PDF containing vector data rather than embedded raster images).
Raster formats store artwork as pixel grids. Their quality is fixed at their creation resolution — they cannot be scaled above their pixel count without quality loss. The major raster formats are: PNG (Portable Network Graphics), JPEG (Joint Photographic Experts Group), TIFF (Tagged Image File Format), and GIF (Graphics Interchange Format).
For commercial print and branding applications, the hierarchy is clear:
- Logos, wordmarks, and brand marks → Vector formats required
- Photography, complex illustrated artwork → Raster formats appropriate
- Mixed content (layouts combining logos and photography) → Vector application with embedded raster images at 300 DPI
Understanding which format category applies to your specific file is the starting point for every production artwork decision.
How Each Format Works
AI — Adobe Illustrator Native Format
Adobe Illustrator (.ai) is the native file format of Adobe Illustrator — the industry-standard vector design application used by the majority of professional graphic designers and design agencies in the UAE and globally. An AI file stores all vector data, layer structure, colour settings, font information, and embedded assets in the proprietary format of Adobe Illustrator.
AI files are the definitive source format for professionally designed corporate logos. When a design agency creates a corporate logo, the master artwork lives in an Illustrator document — all other file formats (EPS, PDF, PNG, SVG) are exported from this AI master.
Technical characteristics:
- Format type: Vector (may also contain embedded raster images)
- Native application: Adobe Illustrator
- Editable: Yes — in Illustrator, all elements remain individually selectable and editable
- Scale independence: Yes — vector elements render sharply at any size
- Colour support: CMYK, RGB, Pantone spot colours
- Transparency support: Yes
- File size: Typically 50KB–5MB for standard corporate logos
Compatibility: AI files can only be opened natively in Adobe Illustrator (or other compatible Adobe applications such as Adobe InDesign and Adobe Acrobat). Some prepress applications can import AI files, but compatibility varies with version. Suppliers who do not use the Adobe Creative Suite may not be able to open AI files directly.
When AI is the correct format:
- Master source format for all logo-derived files — store always
- Submission to suppliers who use Adobe Illustrator in their prepress workflow
- When the design must remain fully editable (future revisions, colour variants, size adaptations)
EPS — Encapsulated PostScript
EPS (.eps) is a vector format based on the PostScript page description language — developed by Adobe as a universal exchange format for vector artwork between different applications and operating systems. EPS predates PDF and was the standard vector interchange format in commercial print production for several decades. While PDF has largely superseded EPS for document exchange, EPS remains widely used in the promotional products industry for logo file distribution.
Technical characteristics:
- Format type: Vector (may contain embedded raster content — an EPS can be a raster-in-EPS wrapper if poorly prepared)
- Native applications: Adobe Illustrator (primary), Corel DRAW, many prepress applications
- Editable: Partially — vector paths are editable in Illustrator, but font editability depends on whether text was outlined before export
- Scale independence: Yes for genuine vector content
- Colour support: CMYK, RGB, Pantone spot colours
- Transparency support: Limited — PostScript language does not natively support transparency; transparent elements must be flattened or handled with specific EPS export settings
- File size: Typically 50KB–2MB for standard corporate logos
Compatibility: EPS has broader compatibility than AI — it can be opened by Adobe Illustrator, Corel DRAW, many print production applications, and imported into InDesign and other layout applications. This broad compatibility made EPS the preferred format for distributing logos to multiple suppliers with different software environments.
Important EPS caution: An EPS file can contain embedded raster images rather than genuine vector data — particularly EPS files exported from Photoshop (which saves raster content in an EPS wrapper). To confirm that an EPS is genuinely vector, open it in Illustrator and zoom to 1600% — genuine vector edges remain sharp; raster content pixelates at extreme zoom.
When EPS is the correct format:
- Distributing logos to multiple suppliers with different software environments
- Submission to suppliers who specify EPS as their required format (common in promotional products production)
- When the AI source file cannot be shared for confidentiality reasons and EPS is a suitable alternative
PDF — Portable Document Format
PDF (.pdf) is the definitive cross-application document exchange format — developed by Adobe as a format that preserves a document’s visual appearance consistently across different operating systems and applications. PDF can contain vector data, raster images, fonts, and a full range of design elements in a single, self-contained file.
The critical distinction for print use is between standard PDF and PDF/X standards:
PDF/X (specifically PDF/X-1a and PDF/X-4) is a print-specific subset of PDF that guarantees: all fonts are embedded, all images are at full resolution, all colours are correctly defined (CMYK and spot colours; RGB flagged), document settings (bleed, trim marks, colour bars) are correctly positioned. PDF/X is the standard submission format for offset and digital printing in the UAE commercial print market.
Standard PDF (not PDF/X) may contain RGB colours, embedded fonts that may substitute on different systems, and transparency effects that may not render correctly in all prepress environments. For print submission, always specify PDF/X.
Technical characteristics:
- Format type: Can be vector, raster, or mixed — depends on content
- Native applications: Adobe Acrobat, viewable in any PDF reader
- Editable: Limited — PDF is primarily a presentation format, not an editing format
- Scale independence: For vector PDF content — yes; for raster content within PDF — fixed resolution
- Colour support: CMYK, RGB, Pantone spot colours, ICC-profiled colour
- Transparency support: Yes (PDF/X-4) or flattened (PDF/X-1a)
- File size: Highly variable — 100KB to several hundred MB for complex documents
When PDF is the correct format:
- Submission of complete print-ready layouts (brochures, business cards, packaging, gift boxes) to offset or digital print suppliers — always PDF/X-1a or PDF/X-4
- Distribution of logos as a single self-contained file that maintains correct colour settings without requiring Illustrator — a high-quality vector PDF is a good distribution format for logos when EPS is not preferred
- Proofing and approval distribution — PDF allows stakeholders without design software to review and approve artwork
PNG — Portable Network Graphics
PNG (.png) is a lossless raster format that supports transparency through an alpha channel — areas of the image can be fully transparent (showing whatever is beneath them), making PNG the standard format for web graphics and digital overlays where a clean, edge-defined image must be placed over variable backgrounds.
PNG is the correct format for digital use of logos — on websites, in presentations, in social media posts, and in any screen-display application. It is a raster format with fixed resolution, making it resolution-dependent for print applications.
Technical characteristics:
- Format type: Raster (pixel-based)
- Transparency support: Yes — full alpha channel (variable opacity)
- Colour support: RGB (standard); RGBA (with alpha channel)
- Lossless: Yes — no quality degradation from saving
- Scale independence: No — quality degrades when scaled above original resolution
- File size: Variable, typically 10KB–5MB for standard logo files
- Resolution: Fixed at creation resolution; adequate for print only if created at 300 DPI at the intended print size
When PNG is correct:
- Digital use — websites, social media, presentations, email signatures
- DTF printing artwork — the transparent background of PNG correctly defines the transfer boundary
- UV printing artwork where transparent background is required to prevent a visible rectangular ink border
- Any screen-based application requiring logo overlay on variable backgrounds
When PNG is not correct:
- Logos for embroidery, screen printing, pad printing, foil stamping, or laser engraving — these require vector formats
- Print applications where the PNG resolution is below 300 DPI at the intended print size
- Photography or raster content for commercial print — TIFF is preferred
SVG — Scalable Vector Graphics
SVG (.svg) is an open-standard, XML-based vector format developed by the World Wide Web Consortium (W3C) — the same organisation that defines web standards. SVG files store vector data as text-based XML code, making them readable and renderable by any web browser without additional software.
SVG has become the preferred vector format for digital and web applications — it scales perfectly on all display densities (including high-resolution Retina displays), can be styled with CSS, and can be animated with JavaScript. It is the standard vector format for web logos and digital brand assets.
Technical characteristics:
- Format type: Vector
- Native applications: Any web browser (native support); Adobe Illustrator, Inkscape, and most modern design applications
- Editable: Yes — SVG is human-readable XML code, editable in text editors and design applications
- Scale independence: Yes — true vector, renders at any size
- Colour support: RGB (web colour specifications); limited Pantone support
- Transparency support: Yes
- File size: Typically very small — 5KB–200KB for standard logo SVGs
Limitations for print production: SVG’s primary limitation for commercial print is compatibility. Not all commercial print prepress applications natively import SVG — the PostScript-based print workflow that underlies most commercial offset and digital printing does not directly support SVG. SVG files exported from web contexts may also contain simplified or web-optimised versions of logos that lack the full design precision of the original AI or EPS source.
When SVG is correct:
- Web and digital applications — websites, digital presentations, digital advertising
- Supplying logos to suppliers who have specifically confirmed SVG compatibility
- Modern web development workflows where SVG is standard
When SVG is not correct:
- Standard commercial print submission — unless the specific supplier has confirmed SVG compatibility
- Embroidery, screen printing, and promotional products decoration — use AI or EPS
- Situations where exact Pantone colour specification is required — SVG uses web colour (RGB hex), not Pantone
JPEG — Joint Photographic Experts Group
JPEG (.jpg, .jpeg) is a lossy compression raster format — the most widely used image format globally for photographic content and web graphics. JPEG’s compression algorithm reduces file size by discarding image data that it calculates to be imperceptible, producing visible quality degradation (artefacts) when compressed heavily or saved repeatedly.
JPEG is not a logo format for print. Despite being the format in which many logos are distributed by organisations (typically extracted from websites or received by email as an attached logo), JPEG has fundamental characteristics that make it unsuitable for most logo print and branding applications:
- Lossy compression produces visible artefacts at print quality
- No transparency support — JPEG always has a background colour (typically white)
- Fixed resolution — quality degrades at print sizes above the original pixel count
- Cannot be colour-separated cleanly for screen printing or pad printing
When JPEG is acceptable:
- Photographic content at 300 DPI and high quality (low compression) for commercial print
- Reference images and low-quality proofing
When JPEG should not be used:
- Never for logo submission for embroidery, screen printing, pad printing, foil stamping, UV printing, or laser engraving
- Never for logo submission where transparent background is required
- Never for logo submission when a vector format is available
TIFF — Tagged Image File Format
TIFF (.tif, .tiff) is a lossless raster format primarily used for high-quality photographic content in commercial print workflows. Unlike JPEG, TIFF applies no lossy compression — the full pixel data is preserved exactly. TIFF files are significantly larger than equivalent JPEGs but contain no compression artefacts.
TIFF is the preferred format for photography in commercial print production — but it is a raster format and shares all the resolution limitations of raster formats for scaling. TIFF is not a vector format and is not appropriate for logos or line artwork where vector is the correct choice.
When TIFF is correct:
- Photography for commercial print — brochures, annual reports, packaging, gift box artwork
- High-quality raster illustrations and artwork at 300 DPI at the intended print size

Advantages of Each Format
AI — Advantages: The AI format is the master source format — the file from which all other formats are derived. It retains full editability: every element of the design (shapes, type, colours, layers) can be individually selected, modified, and re-exported in any output format. For organisations that need to evolve their brand identity over time, the AI source file is the irreplaceable starting point for every future change. AI’s native Illustrator colour environment supports the full range of CMYK, RGB, and Pantone spot colour specifications in a single document.
EPS — Advantages: EPS’s primary advantage is broad compatibility across the commercial print and promotional products production ecosystem. Virtually every professional prepress and production application can import EPS — including older versions that may not support the latest AI format. For distributing logos to multiple production suppliers with different software environments, EPS is the most universally reliable vector format. EPS’s PostScript-based encoding is well-understood by every commercial print workflow.
PDF/X — Advantages: PDF/X is the definitive print submission format — it guarantees that fonts, images, and colours are correctly embedded and defined in a format that any professional print facility can process without compatibility concerns. For complete print-ready documents (not just isolated logo files), PDF/X is the correct and expected submission format across the UAE commercial print market. PDF can be shared with and reviewed by non-designers without any design software requirement.
SVG — Advantages: SVG’s primary advantages are for digital and web applications: perfect display quality at any screen resolution (including Retina/HiDPI displays), small file size, native browser rendering without plugins, and CSS/JavaScript animatability. For organisations with strong digital brand presence, SVG is the correct vector format for all web and digital display applications.
PNG — Advantages: PNG’s transparency support (alpha channel) makes it the only standard raster format that allows a logo to be placed over any background colour or image without a visible white rectangle surrounding the logo shape. This makes PNG the correct format for all digital logo applications where the logo must overlay variable backgrounds — websites, social media, presentations, email signatures, and video overlays. For DTF and UV printing where transparent background is a production requirement, PNG is the correct format.
Which Format for Which Application
For embroidery digitising: Use AI or EPS. The digitiser needs clean vector outlines to trace accurately when converting the logo into a stitch programme. EPS is the most universally accepted format across embroidery digitising services globally. Always outline all fonts before saving the EPS.
For screen printing film production: Use AI or EPS with Pantone spot colours defined as named spot colour channels. Each Pantone colour must be on a separate, cleanly defined layer. No transparency effects; no gradients for standard screen printing.
For laser engraving: Use AI or EPS. The laser engraving machine follows vector paths for maximum precision. Prepare the artwork as a single-colour black-and-white file with black areas defining the engraved zones. All text outlined.
For UV printing on hard goods: Use high-resolution PNG (transparent background, 300 DPI at final print size) for designs applied to coloured or dark substrates. Use CMYK PDF or TIFF for full-colour designs. Vector PDF or AI/EPS is preferred for single-colour or spot-colour UV printing applications.
For DTF printing: Use high-resolution PNG with fully transparent background (300 DPI at final print size). Transparent background is the critical requirement — not white. All text outlined.
For dye sublimation: Use high-resolution TIFF or PNG in sRGB colour mode (not CMYK). 150–300 DPI at final print size depending on viewing distance.
For pad printing: Use AI or EPS with Pantone Coated references, one colour per layer, all text outlined.
For foil stamping and debossing: Use AI or EPS. Single colour per die; vector paths only; no raster elements.
For offset printing (complete documents): Use PDF/X-1a or PDF/X-4. All fonts embedded, all images at 300 DPI minimum, CMYK colour mode, Pantone spot colours defined as named channels, 3mm bleed, trim marks.
For digital printing (complete documents): Use PDF/X-1a. All fonts embedded, all images at 300 DPI, CMYK colour mode.
For website and digital display: Use SVG for logos (scales perfectly on all display densities). Use PNG (transparent background) where SVG is not supported. Never use JPEG for logo digital display.
For email signature logos: Use PNG (transparent background, 150–200 pixels wide at 72 DPI for standard displays; 300–400 pixels wide at 144 DPI for Retina displays). SVG is increasingly supported in modern email clients.
For PowerPoint and Keynote presentations: Use PNG (transparent background) or SVG. PNG is the most universally compatible — SVG support in presentation applications varies.
The Complete Logo File Pack: What to Request from Your Design Agency
Every organisation that produces branded corporate materials should maintain a complete logo file pack — a collection of every format variant needed for every production application. Request the following from your design agency when the logo is created or when you take over management of an existing brand:
Master source files:
- Logo_Primary.ai — Master Illustrator file with all layers intact, CMYK and Pantone colours defined
- Logo_Reversed.ai — White/reversed version for dark backgrounds
- Logo_Black.ai — Single-colour black version
- Logo_Arabic.ai — Arabic version of the logo/wordmark (if bilingual brand standards apply)
- Logo_Bilingual.ai — Combined Arabic-English version (if applicable)
Vector distribution files:
- Logo_Primary_CMYK.eps — Full-colour CMYK EPS, text outlined
- Logo_Primary_Pantone.eps — Pantone spot colour EPS, text outlined
- Logo_Reversed_CMYK.eps — Reversed version in CMYK EPS
- Logo_Black.eps — Single-colour black EPS
Print-ready PDF:

Artwork Requirements: Format Preparation Standards
Outlining text before distribution: All fonts in logo files distributed to suppliers must be outlined (converted to paths) — in both EPS and AI formats — unless the supplier has specifically confirmed they have the required font installed and licensed. In Adobe Illustrator: Select All → Type → Create Outlines. Always retain a separate live-text version of the master AI file for future editing. The outlined version is the distribution copy.
Embedding images in AI files: AI files can reference linked external images rather than embedding them. When an AI file with linked images is sent to a supplier without the linked image files, the linked images appear as low-resolution previews or grey boxes. Always embed linked images before distributing AI files. In Illustrator: select all images → Object → Flatten Transparency → or use File → Package to collect all linked files.
Colour mode confirmation: Before distributing files for print, confirm the colour mode of the AI or EPS document. In Illustrator: File → Document Color Mode should show CMYK for print-destined files. Pantone spot colours should appear as named swatches in the Swatches panel. RGB colours should be converted to CMYK equivalents based on Pantone brand guidelines.
Arabic font handling: Arabic fonts in logo files must be outlined before distribution — particularly critical because Arabic font rendering depends on the glyph shaping capabilities of the application and the specific font version installed. An Arabic font that renders correctly in the creating agency’s Illustrator installation may render incorrectly (with broken or improperly shaped letterforms) in a different installation or a different version of the same font. Outlining the Arabic text converts it to paths that render correctly in any application, regardless of font installation.
Production Considerations
Version management for UAE National Day and seasonal brand variants: Many UAE organisations produce seasonally adapted versions of their corporate logo for UAE National Day (December 2), Ramadan, and other annual occasions — adding the UAE flag colours, a National Day crescent and falcon, or a Ramadan lantern element to the standard logo. These seasonal variants require their own set of AI source files and distribution format exports, managed with the same rigour as the primary logo. Maintain a clearly dated version structure — Logo_Primary_NationalDay_2025.ai, for example — to avoid confusion between seasonal and permanent brand assets.
The resolution question for PNG logos: A frequently encountered situation is a request for a “high-resolution PNG” of the logo. PNG is a raster format — its resolution depends on the pixel dimensions at which it is exported. The correct approach for exporting a print-suitable PNG from vector source artwork is:
- Open the vector AI or EPS in Adobe Illustrator
- Set the artboard to the maximum intended print size (e.g., 200mm x 80mm for a large format logo placement)
- Export as PNG at 300 DPI: File → Export → Export As → PNG → Resolution: 300 PPI
The resulting PNG will be print-suitable at sizes up to 200mm x 80mm at 300 DPI. It is not suitable at larger sizes — which is why, for any application where the logo size is not definitively fixed, vector format is always the better choice.
EPS compatibility between software versions: EPS files created in recent versions of Adobe Illustrator (2020 and later) may not open correctly in older versions of Illustrator or in non-Adobe applications that do not support the latest EPS specification features. When distributing EPS files to suppliers with potentially older software, export using a compatible EPS version (EPS format: Illustrator 8 or lower is widely compatible) — specify this in the export settings if compatibility across diverse software environments is a requirement.
SVG from web extraction: Marketing teams occasionally extract SVG files directly from a company’s website source code — right-click on the logo element, view source, and copy the SVG XML code. Web SVGs are often simplified or optimised for web performance: strokes may be simplified, colours may be web-only hex values rather than Pantone references, and the SVG may be missing elements that are present in the source AI file. Never use web-extracted SVG as a production file for commercial print or branding without verifying against the original AI source.
Common Mistakes to Avoid
Using the PNG from the email signature as the submission file for embroidery: Email signature logos are typically small PNG files at screen resolution (72–96 DPI, 100–300 pixels wide) — completely inadequate for embroidery digitising, screen printing, or any production application requiring vector format. The email signature PNG is optimised for display in email clients at screen resolution — it is not a production file. Always use the vector source file for production submissions.
Submitting a PDF without confirming whether it is vector or raster: As established in the format overview, a PDF can contain genuine vector data or embedded raster images. A PDF created by scanning a printed document is a raster PDF — it contains a fixed-resolution pixel image of the scanned document and has none of the vector properties of a PDF created from an Illustrator or Illustrator-equivalent source. When receiving a PDF logo file from a brand owner or design agency, confirm whether it is a vector PDF (created from design software) or a raster PDF (scanned or converted from raster) — open in Illustrator and zoom to 1600% to confirm.
Providing only one version of a multi-variant logo: Many corporate logos have multiple variants — horizontal and stacked layouts, positive and reversed versions, monochrome and colour versions, full-name and symbol-only versions. Providing only the primary horizontal colour version to a production supplier creates problems when the specific application requires a different variant — the reversed version for a dark garment, the single-colour version for laser engraving, the stacked version for a narrow print area. Provide the complete variant set to every major production supplier and specify which variant is appropriate for each product.
Not confirming font inclusion before distributing AI files: An AI file distributed with live (not outlined) text requires the same font to be installed on the recipient’s computer. If the font is not installed, the application substitutes the closest available alternative — which may significantly alter the logo’s appearance if the correct font has distinctive characteristics. Always outline text before distributing AI files for production use. The only exception is when distributing to a supplier who has explicitly confirmed they have the required font installed and licensed.
